Contracts & Procurement Operations Associate

Location: San Rafael, CA – Hybrid, onsite Tuesday & Thursday
Assignment: 1-year W2 contract with potential to extend or convert
Pay Rate: 45/hour

Position Overview

We are seeking a detail-oriented Contracts & Procurement Operations Associate to support contract administration, procurement, vendor management, compliance, and general business operations. This individual will manage high-volume contract and purchasing workflows while partnering with internal teams, Procurement, Finance, Legal, and external vendors.

Key Responsibilities

  • Manage a high volume of contracts from initial submission through review, tracking, approval, and final signature.

  • Create and track purchase requisitions through financial approval and PO creation.

  • Process contracting and procurement requests using SAP/Ariba and Coupa/Spend Source.

  • Draft and route NDAs, Statements/Scopes of Work (SOWs), and Change Orders.

  • Research vendor status and coordinate new supplier onboarding and vendor updates.

  • Coordinate workflows between business teams, Procurement, Finance, Legal, and external vendors.

  • Track contracts, requisitions, and related requests to ensure timely completion.

  • Maintain accurate documentation and support compliance and audit-readiness activities.

  • Identify opportunities to streamline processes and improve operational efficiency.

  • Build strong working relationships with internal stakeholders and external vendors.

Required Qualifications

  • 2 years of experience using SAP/Ariba and Coupa/Spend Source.

  • Experience managing high-volume, end-to-end contract workflows, ideally 100 contracts per month.

  • Previous contract administration, procurement, purchasing, or vendor management experience.

  • Experience with requisitions, purchase orders, and vendor/supplier processes.

  • Strong attention to detail and ability to manage multiple priorities and deadlines.

  • Ability to independently navigate complex processes, troubleshoot issues, and drive tasks to resolution.

  • Strong written, verbal, interpersonal, and customer service skills.

  • Proficiency with Microsoft Word, Excel, and PowerPoint.

Preferred Qualifications

  • Experience in biotech, pharmaceutical, medical device, legal, or another regulated or contract-intensive industry.

  • Experience supporting compliance, vendor management, or operational processes.

  • Familiarity with SpringCM.

  • Experience with process improvement, automation, or digital transformation initiatives.

  • Familiarity with AI-enabled productivity tools such as Microsoft Copilot or ChatGPT.
