Administrative Assistant – with Procore Experience Required

Location: Los Angeles, CA (On-Site 100%)

Pay Rate: $39/ HR, Target Start: ASAP

3-4 month W2 Assignment, Strong Potential to Extend

Job Description:

The Construction Administrative Assistant provides crucial support to the Construction Project Management Team, demonstrating autonomy in task execution. With excellent communication skills, the role manages multiple responsibilities efficiently. Key tasks include coordinating meetings, managing calendars, handling inquiries, and assisting with document and project management. The role involves expense tracking, report compilation, and supporting the overall office infrastructure. Safety and security oversight, interdepartmental collaboration, and coordination of special projects are integral to the position.


Daily Administrative Tasks:

  • General administrative and clerical duties.
  • Coordinating and scheduling meetings, activities, and programs.
  • Maintaining calendars and schedules.
  • Taking meeting minutes when required.


Visitor and Inquiry Handling:

  • Welcoming visitors and providing necessary escorts.
  • Addressing inquiries by phone and in person, exercising discretion in information release.


Document and Project Management:

  • Assisting with documents and setting up meetings.
  • Communicating with consultants, and contractors, and maintaining project files.
  • Keeping directories, references, and records up to date.
  • Collecting and tracking project documentation.


Expense Tracking and Filing:

  • Tracking project-related administrative expenses on spreadsheets.
  • Managing documents, invoices, logs, and scans for construction documents.
  • Maintaining a filing system for all Construction Project Management Team documents.


Report Compilation and Support:

  • Organizing and prioritizing daily workload to meet deadlines.
  • Compiling, editing, and publishing administrative and project-related reports.


Office Equipment and Maintenance:

  • Supporting the Project Management team with office equipment.
  • Assisting in maintaining office equipment and providing light IT troubleshooting.
  • Handling mail, coordinating courier services, and managing office maintenance requests.


Construction Safety and Security:

  • Overseeing the construction safety training database.
  • Collaborating with the Security Department for contractor credentialing and badging.


Interdepartmental Collaboration:

  • Daily collaboration with the Project Management Team, Facilities, Information Systems, and other Support Services Staff.
  • Aiming to support and align initiatives and project goals.


Special Project Coordination:

  • Coordinating special projects as assigned.
  • Gathering available statistical data and presenting findings to appropriate personnel.


Education and Experience Requirements:

  • Bachelor's degree preferred
  • HS Diploma is a must
