On behalf of our client, a renowned company in the entertainment industry. We are seeking an Administrative Assistant IV to support the EVP / Deputy General Counsel and up to three supporting attorneys in the Corporate Legal group.

On behalf of our client, a renowned company in the entertainment industry. We are seeking an Administrative Assistant IV to support the EVP / Deputy General Counsel and up to three supporting attorneys in the Corporate Legal group.
Responsibilities
- Prioritizing and managing meetings, action items, and tasks for supported executives, often in collaboration with other senior executives to align schedules and priorities.
- Coordinating and organizing meetings, including reserving conference rooms, preparing agendas, sending calendar invites, and distributing relevant documents.
- Drafting, revising, and redlining complex documents (Word, Excel, Adobe Acrobat) with advanced proficiency, ensuring accurate and swift incorporation of handwritten notes and changes.
- Utilizing various cloud-based applications to complete tasks such as gathering electronic signatures and accessing corporate databases efficiently.
- Overseeing both digital and physical records management, coordinating with team members on shared file systems and proper storage practices.
- Organizing travel arrangements, planning offsite meetings, and managing all logistical aspects of team events and meetings.
- Processing and submitting expense reports promptly to ensure timely reimbursements.
- Keeping the EVP informed on staff-related matters, providing regular updates and insights as needed.
- Managing phone coverage and the executive office, including greeting and assisting in-person visitors.
Qualifications
- Minimum 5+ years of experience in an executive assistant-experience with a large corporation or law firm.
- Proficient computer skills, specifically MS 365 Product Suite, Concur, and Adobe Acrobat.
